Email automation
Six mailbox shapes, three reply modes, one inbox.
Email capabilities connect the mailbox you already have — Google or Microsoft, personal or shared — and work customer mail from inside it, at a distance you set per mailbox and per thread. Nothing is migrated and no forwarding rule is added.
Hi Dana,
Sorry to hear about the tooth — we keep same-week slots for exactly this, and I've flagged your message for the front desk to call you back this morning.
Harbour Dental
The draft is a real Gmail draft, in the Drafts folder you already check on your phone. Approving updates that same draft and sends it.
Or just ask for it
Change how your mailbox behaves, by email.
Modes, drafts and thread state — asked for in the app you were already in.
Inboxsupport@ switched to draft-for-approval
Put support@ on drafts for the rest of the week. I want to read everything before it goes.
Done. Replies are now composed and left in your real Drafts folder, so they’re on your phone too. 6 waiting. Individual threads can still override this either way.
@Octo draft a reply to the invoice question from Kepler Ltd
On it 🔧(runningdraft_email_reply…)
Drafted with the bookings@ signature. It’s in Drafts — approve there or here. (edited)

- Personal Gmail
- A single @gmail.com account, connected by signing in — the account a lot of small businesses actually run on, treated as a first-class case.
- Google Workspace
- Your own domain on Workspace, connected by the person who owns the mailbox.
- Send-as aliases
- A thread that arrived at support@ is answered from support@, even when the underlying connection is a person’s account.
- Google Groups
- Group mail is identified from the List-Id header Google stamps on delivery, so the Group’s mail is worked and the watcher’s own personal mail is left alone.
- Microsoft 365
- User mailboxes on your tenancy, connected by their owner.
- Outlook.com
- Consumer Outlook and Hotmail addresses connect the same way business ones do.
- Autonomous mode
- The reply goes out immediately, for the mail you would rather never see. The whole exchange is still in your inbox to read.
- Draft-for-approval mode
- The reply is composed and left for a person. Nothing reaches a customer without someone pressing send.
- Human-only mode
- No AI runs on the thread at all. It still lands in the shared inbox and gets assigned and labelled like everything else.
- Per-thread mode override
- Mode is a default on the mailbox, and any single thread can override it in either direction. The thread’s own choice always wins.
- Drafts in your real Drafts folder
- A draft is created through Gmail’s or Outlook’s own drafts API, so it is there in the mail app on your phone. Approving updates that same draft and sends it, leaving no orphans.
- Approve, edit or discard — double-send-proof
- Approval is only accepted while the message is still a draft, so a second click, a stale tab or a retried request cannot send the same reply twice.
- Teammate-reply sync
- The sent folder is watched as well as the inbox, so a reply typed straight into Gmail or Outlook lands on the thread here and the agent stops working on it.
- Reply-all-safe threading
- Threading follows the mail standards rather than guessing, so a reply goes to the people it should and keeps the conversation intact.
- Quoted-text stripping in five languages
- Quoted history is removed before the agent reads the message, including the reply headers Gmail and Outlook write in English, French, German, Spanish and Chinese. A twelve-message thread is not answered from the top.
- Attachments both ways
- Attachments are received and sent, up to 25 MB, rather than silently dropped.
- Canned replies with variables
- Saved replies with contact variables filled in, for the answers you send weekly.
- Per-channel signatures
- Each connected mailbox carries its own signature, so support@ and bookings@ do not sign off identically.
- Rolling thread summaries
- Past roughly eight messages a summary is maintained on the thread, so whoever opens it next starts from where things stand.
- Compose with contact autocomplete
- Start a new thread from the shared inbox with your contacts autocompleting in the recipient field.
- Auto-responder & loop filtering
- Out-of-office notices, bounce notifications and bot addresses are recognised and dropped instead of answered, behind four independent layers of loop prevention.
- Connection health watchdog
- Provider mailbox watches expire on a schedule, so they are renewed ahead of time rather than left to lapse. A revoked authorisation raises a prompt instead of silence.
